Registration

In-person vs. virtual attendance

  • To attend in person or virtually (via Zoom), you must register. When registering, select either the in-person or virtual event; you cannot register for both.
  • Capacity is limited for both experiences – particularly for the in-person event, which we expect to sell out. There is less concern about reaching capacity for the virtual event, but don’t wait until the last minute to register!
  • If you register and wish to change from in-person to virtual, or vice versa, cancel your registration (following the instructions below) and re-register. If capacity has been reached, you may not be able to re-register.
  • If either experience reaches capacity, we will place registrants on a waiting list.
  • For space-planning purposes, if you register for the in-person event, you must indicate which sessions you expect to attend. However, you are not obligated to adhere to your selections at the event.

Deadline

  • In-person registration closes Friday, May 10.
  • Virtual registration closes Wednesday, May 15.

Confirming your registration

  • When you register, you will receive a confirmation email from techexpo@duke.edu. If you do not receive this confirmation email, you are not registered.
  • To modify an existing registration, refer to your confirmation email for instructions. To change from in-person to virtual, or vice versa, refer to the “In-person vs. virtual attendance” section above.

Cancellations

  • Refer to your confirmation email for the cancellation link.
  • If you are registered but cannot attend, particularly for the in-person experience, please cancel so we can offer your spot to others.

Can’t attend?

  • Session recordings will be made available to the Duke community in the summer.

In-Person Experience

Where to go

  • The event will be held rain or shine in Research Triangle Park at the Apella Conference Center, 12 Davis Dr., Durham, NC 27709 (see map).
  • Parking at Apella is free, but capacity is limited. Carpooling is encouraged – from home, your worksite, or our overflow lot.
    • Overflow parking will be directed to Duke Health Technology Solutions (DHTS) in RTP at 12 Moore Dr, Durham, NC 27703 (map). Parking at DHTS is also free. 
    • A shuttle will run continuously between Apella and DHTS starting at 9am. Signs in the parking lot will direct you to the pickup location.
    • The last shuttle will leave Apella at 3:45pm. The distance between DHTS and Apella is not walkable. 
  • When you arrive, have your registration email available and visit the Check-in table. Attendees who are not registered will not be admitted.
  • Sessions & schedule information is available online, as well as on signage throughout Apella.
  • Apella has a private Wellness Room available – except during an existing reservation from 12:45-2:15pm.

What to bring

  • Your confirmation email with QR code is required for admission.
  • Wifi is available. Feel free to bring a laptop or tablet, if desired, but it isn’t necessary.
  • Dress code: casual, business casual, or your usual in-person work attire. You may be photographed!
  • You are welcome to bring a lawn chair or picnic blanket to enjoy lunch in the courtyard, weather permitting.

Food & drink

  • A light breakfast, coffee, sandwich lunch, and desserts are included and catered by the Apella Conference Center.
  • Breakfast begins at 9am.
  • Vegetarian options will be available. Please note that we are unable to accommodate other dietary restrictions.
  • If preferred, there are several restaurants and coffee shops within a short driving distance of Apella. Remember that parking at Apella is limited, though, and you may lose your spot.

Online Experience

Accessing the virtual event

  • Presenters and virtual registrants will receive a separate email from Zoom Events with ticket information by May 13.  You must use this ticket to access the event.
    • Do not share this ticket with others. Your unique link allows one person to access the Zoom Event; if shared, you will not be able to join.
    • We recommend you test the Join link in your email prior to May 17. If you have issues, email techexpo@duke.edu.
    • If you did not receive this email, you may not be registered.
  • You must have a Zoom account to join the online event.
  • Your Zoom client must be at the latest version to fully participate. In the client, click your avatar and select Check for Updates.

Navigating the virtual event

  • Lobby: Visit the lobby for the general conference chat and upcoming presenter sessions. Live sessions will be streamed to the lobby. Click Join to interact with the current presentation.
  • Sessions: Review a list of all sessions, including title, description, and presenters. Bookmark sessions of interest and join live sessions.
  • Itinerary: Any sessions you have bookmarked will be listed here. You can join active sessions directly from your itinerary.
  • Exhibitors: Get details about conference sponsors.
  • Speakers: Learn about conference presenters. If a speaker is actively presenting, you can join their session from here.
  • Videos: View a message from Duke IT leadership on the day of the event.

Viewing vs. joining a session   

  • You can view active sessions in the lobby. From there, you can move among active sessions and watch without joining them.
  • When you join a session, you enter the session as a participant. From there you can see other participants and join the chat.

Presenters & Volunteers

  • Confirmed presenters and volunteers should refer to your emails for specific details and contact information.
  • To sign up to volunteer, you should register for the in-person event and note your interest as part of the registration process. Our Volunteer Committee will follow up with you.
